This policy explains what personal data VaniVx processes, why, and the choices available to you. VaniVx provides an AI voice-agent platform; much of the personal data we handle is processed on behalf of our business customers (controllers), who decide how their campaigns run.

Who we are

VaniVx (“we”, “us”) operates a multilingual AI voice-agent platform. For data our customers upload and the calls their agents place, the customer is the data controller and VaniVx acts as a data processor under their instructions.

Data we process

  • Account data: name, work email, organisation, role.
  • Lead/contact data uploaded by customers: name, phone number, email, language and campaign fields.
  • Call data: call metadata, recordings (where enabled and lawful), transcripts, outcomes and AI decision logs.
  • Usage and technical data: log data, device/browser information and analytics needed to operate the service.

How we use data

  • To provide the platform: placing/receiving calls, transcription, AI conversation, booking, follow-ups and reporting.
  • To meter usage and bill customers.
  • To maintain security, prevent abuse and meet legal obligations.

Call recording & AI disclosure

Where recording is enabled, agents are configured to give a recording notice and to identify themselves as an AI assistant, and callers can opt out or ask for a human at any time. Recording behaviour is configurable per region and per agent to support local consent requirements.

Sharing & subprocessors

We use vetted third-party providers (e.g. telephony, speech-to-text, text-to-speech, AI model, email, payments and hosting) to deliver the service. See our Subprocessors page for the current list. We do not sell personal data.

Retention

Customers can configure a data-retention window for call data. We retain account and billing records as required for legitimate business and legal purposes.

Your rights

Depending on your region (e.g. GDPR, India DPDP), you may have rights to access, correct, delete or export your data, or to object to certain processing. For data held on behalf of a customer, please contact that customer; we will assist them as their processor.
